Support Services Coordinator

Summary

The Support Services Coordinator is responsible for various processes pertaining to completion of domestic and international bills of lading, invoices, arrival notices for all manifested shipments where Trailer Bridge is responsible.  This includes documentation, application of contract rates or tariff rates, processing invoices, generating arrival notices, timely communications to various regulatorary agencies, communications with customers, validating information, performing quality assurance or other tasks as needed.

 

Documentation and Invoicing 
  • Review premanifest lists, stow plan lists and manifests to ensure all boarded shipments, northbound and southbound are appropriately documented, invoiced and and notified to the customer
  • Prepare and enter all description information for accurate completion of the ocean bill of lading.
  • Validates all data elements for accuracy against shippers paperwork and questions or escalates any inconsistency with the Account Manager or customer to ensure efficient exportation of cargo and ensuring that service commitments are achieved and maintained.
  • Provides clients with advice concerning terms of delivery, payment, insurance and ancillary services affecting the client’s needs.
  • Issues and submits documentation in compliance with all relevant laws and processes
  • Document shipments per regulatory guidelines including but not limited to In Bond, USDA, US Customs, Hazardous, Schedule B and HTS Code requirements.
  • Regularly follow up with customers and Account Managers regarding customer inquiries, problem solving needs regarding descrepancies to ensure deadlines are met and customer satisfaction.
  • Ensures appropriate application of rates to customer invoices per Trailer Bridge pricing contracts/tariffs
  • Ensure documentation status reports are updated timely.
  • Issue invoicing, attaching back up paperwork when required, as per customer profiles when assigned.
  • Receive and scan all shipment Proof of Delivery for shipments according to retention policies.
Electronic Export Filing
  • Complete Electronic Export Information filing (EEI) through the Automated Export System (AES) as required by US Customs and Border Protection regulations per 19 CFR
  • Coordinate with internal departments for complete documentation and information
  • Receives and validate POA’s (Power of Attorney), maintain required recordkeeping
  • Ensure filing compliance and cargo holds when applicable.
Quality Assurance
  • Verify accuracy of documentation and rating prior sending to Arbitrios.
  • Ensure Arbitrios EDI text file is correct before sending the transmission to regulatory agencies.
  • Issue corrections for bookings per customer request and submit Arbitrios correction when needed.
  • Provide guidance to customers for Arbitrios process, including SISCO and SURI system.
  • Ensure BOLs are submitted to Arbitrios two days prior to vessel arrival.
International Customs
  • Input all loads for Northbound sailings into US Customs Automated Manifest System (AMS) to create the AMS manifest.
  • Pull US Customs clearance status reports to verify clearance status for all international voyages.
  • Perform secondary validation checkpoints on manifests to ensure all compliance requirements have been met to avoid fines.
  • Respond to customer inquiries and requests as needed.
Arrival Notices and Arbitrios
  • Generate Arrival notices for customers prior to vessel arrival.
  • Respond to customer inquiries regarding arbitrios questions or issues.
  • Issue corrections to Department of Hacienda when needed.
Additional Duties and Responsibilities

Qualifications
  • 3-4 years previous experience in documentation and rating in the marine or other applicable industry.
  • Familiarity with applicable regulations and customs reporting and filing requirements
  • Strong PC and software skills, preferably in an AS400 environment, as well as a working knowledge of Excel spreadsheet development
  • Very good verbal and written communication skills
  • Fluency in English and Spanish preferred
  • Bachelor’s degree a plus

Application Developer

Summary:

Trailer Bridge is looking for a Full Stack Python Application Developer who will take a key role on our IT Team.  The Application Developer must have knowledge in all stages of software development. You’ll be working alongside other developers, collaborating on various layers of the infrastructure for our Transportation Management System (TMS).

 

Essential Functions:
  • Design overall architecture of the web-based TMS.
  • Maintain quality and ensure responsiveness of assigned applications.
  • Collaborate with the rest of the business leads and development team to design and launch new features.
  • Maintain code integrity and organization (preferably with GitHub or a similar code vault/versioning utility)

Intermodal Mode Manager

Summary:

  • Provide customers and sales associates with intermodal rates on an as needed basis, including daily spot rates, short term and long term rates.

  • Develop and maintain relationships with drayage and rail vendor staff and sales associates.
  • Negotiate rates and services with rail, drayage, steamship and other service providers.

  • Have a thorough knowledge of the North American rail system as well as rail vendors that provide service offerings to Trailer Bridge.

LTL Mode Manager

Summary:

  • Upon request, prepare complex custom reports using a host of proprietary tools as well as Microsoft Excel, or other Microsoft Office products.
  • Make account pricing decisions based upon business data, market trends, and cost pressures.
  • Provide support for Account Executives in response to customers’ needs and concerns.

International Documentation & Billing Coordinator

Summary

The International Documentation & Invoicing Coordinator ensures the preparation of all billing documentation for southbound, northbound and miscellaneous international shipments. The Coordinator also complies with all Customs regulations and deadlines in order to manifest each shipment in AMS. They are the controller of all international e-mails and assure a smooth sailing for every customer.

Essential Functions
  • Documents and invoices all international northbound and southbound shipments
  • Follows Customs deadlines for manifesting each international northbound load in AMS
  • Controls the entire Dominican Republic and Virgin Island email box, answering any/all that apply to them
  • Sends all invoices, bills of lading and arrival notices to every customer
  • Files EEI for any international southbound load that requires it
  • In charge of all corrections for international loads
  • Handles all accessorial billing for international loads, as directed by manager
Additional Duties and Responsibilities
  • Assists with other duties as directed by the Manager.
  • Handles all supplemental invoicing for the company.
  • Validates all letters of authorization that allow Trailer Bridge to file the EEI on behalf of a customer
  • Follows written procedures as documented in the Trailer Bridge ISO 9001:2000 quality processes.
  • Maintains Administration Department Standards of Excellence.

Qualifications
  • 2-3 years experience in transportation industry with specific experience in tariffs and contracts.
  • Bachelor’s degree preferred.
  • Knowledge of rules and regulations for domestic billing and documentation (including Trailer Bridge’s tariff).
  • Proficient PC skills, including strong working knowledge of Microsoft Office software (Word, Excel, Access).
  • Strong verbal, written, and interpersonal communication skills.
